Highlights

  • Drastically reduced data subject request (DSR) processing time from two days to 10 minutes, eliminating hours of manual work
  • With this increase in automation, one full-time employee (FTE) was able to move off of DSR fulfillment work to focus on more strategic projects
  • Seamless integration with key systems like Snowflake, Salesforce, and Marketo eliminated the "silent failures" in DSR fulfillment that occurred with previous provider

Overview

ZoomInfo, a leading go-to-market intelligence platform, operates on a massive global scale, with over 35,000 customers worldwide and a database of more than 100 million company profiles.

With thousands of data subject requests (DSRs) coming in each week—and operating in a highly scrutinized industry where consumer trust is essential—ZoomInfo needed a privacy partner that could not only efficiently handle this high DSR volume but also scale effortlessly as the business expanded into new data governance use cases.

Before implementing Transcend, ZoomInfo faced significant technical and operational roadblocks with their existing privacy provider. Integrations were cumbersome, and the tool struggled to handle the company’s substantial DSR volume, forcing the privacy team to rely on time-consuming manual processes. Compounding these issues was the fact that, as a point solution, their previous provider couldn’t address ZoomInfo’s broader data governance needs.

"Our old tool simply couldn't handle the complexity and volume of our DSRs. We needed a solution that could easily integrate with our existing systems, be customized to our unique workflows, and offer a full suite of data governance tools beyond just DSR fulfillment."

- Suresh Putteti, Senior Privacy Technologist at ZoomInfo

With these challenges and goals in mind, Suresh and the ZoomInfo team started the search for a new privacy solution—one that could handle their immense volume of DSRs, integrate seamlessly with key data systems, and extend to new use cases without triggering time-consuming internal evaluations and security reviews.

The challenge

While using their previous privacy provider, ZoomInfo faced several significant hurdles:

  • Limited customization: Technical limitations in the tool prevented ZoomInfo from customizing DSR workflows based on data subject type or adapting to the specific requirements of laws like the General Data Protection Regulation (GDPR), various U.S. state privacy laws, and the California Delete Act. As a result, the privacy team had to manually process many requests, significantly increasing fulfillment time.
  • Incomplete automation and increased overhead: Incomplete automation and the need for manual processes meant ZoomInfo had to hire an additional full-time employee (FTE) to manage DSRs, increasing costs and diverting resources from more strategic privacy tasks.
  • Unstable integrations and silent failures: Integration issues with key systems caused some DSRs to fail silently, meaning that not only were the requests not completed successfully, but the privacy team was not alerted—introducing unnecessary compliance risk and eroding consumer trust.
  • Lack of extensibility: A point solution, the previous tool throttled the privacy program's ability to scale quickly. ZoomInfo needed an extensible platform that could meet their evolving data governance needs—without the recurring burden of time-consuming security reviews and internal evaluations required of procuring new tools.

After a thorough evaluation and a successful proof of concept, ZoomInfo selected Transcend for its robust automation, support for custom workflows, seamless out-of-the-box integrations, and ability to integrate with a homegrown privacy request trust center.

Transcend's impact: Scalable privacy that builds consumer trust

Facing a 60-day window to replace their legacy system, ZoomInfo needed a rapid and seamless implementation. With white-glove support from Transcend’s engineering-led Customer Success team, ZoomInfo was able to deploy Transcend DSR Automation in less than a month, with no disruption to internal workflows.

Once deployed, the results were immediate and transformative:

  • Dramatic time savings: DSR processing time was reduced from two days to 10 minutes, significantly improving the consumer experience while minimizing time spent on manual intervention.
  • Improved strategic resource allocation: With DSR workflow automation increased significantly, ZoomInfo’s privacy team was able to move one FTE off DSR fulfillment work—freeing up valuable team resources for more strategic projects.
  • Seamless integrations with critical systems: Effective connections with key systems like Snowflake, Salesforce, and Marketo eliminated "silent failures" within the DSR process—increasing the organization’s confidence in their compliance stance and building greater customer trust through reliable fulfillment.
  • Future-proof scalability: A rapid implementation, combined with Transcend's comprehensive suite of privacy and data governance tools, empowered ZoomInfo to scale beyond immediate DSR challenges by eliminating the need for onerous security reviews and internal evaluations.

"Transcend's ability to automate our DSR processes and integrate with our existing systems has been a game-changer. We've gone from spending days on each request to just minutes, and have significantly reduced our manual workload. Plus, being able to expand our privacy program without constant security evaluations makes us much more agile."

- Suresh Putteti, Senior Privacy Technologist at ZoomInfo

Elevating operational efficiency and trust

Transcend's scalable, flexible platform, combined with white-glove, engineering-led support, helped ZoomInfo streamline its privacy operations, reduce costs, enhance its reputation as a trusted data steward, and future-proof their privacy operations.

"Transcend has allowed us to focus on strategic privacy initiatives rather than getting bogged down in manual tasks. And the expandability of the platform is huge for us. We are already discussing expanding our use of the platform to Consent Management, as well as moving off our own homegrown trust center to Transcend Privacy Center."

- Rob Priore, Senior Manager for Privacy & Compliance Technology at ZoomInfo

By proactively transforming its privacy operations with Transcend, ZoomInfo not only mitigated immediate compliance risks and reduced costs but also solidified its position as a leader in responsible data management and innovation.
